Thank you for considering the Uplands for your special event. To ensure that our space remains welcoming and in excellent condition for all guests, we ask that you follow the housekeeping rules outlined below. The Event Room MUST be left in the same condition as when you arrived.
City Bylaws
Renters must always comply with the City of Calgary noise bylaws. Any disruptive noise, including but not limited to music and guests, after 10pm must measure fewer than 50 decibels. Violation will result in the loss of the damage deposit.
Decorating the Hall
NO glitter, sparkles, or confetti is allowed in the space as it is very difficult to clean. Chairs, tables, and equipment must not be dragged across the floor.
Fire Alarm
Smoke, open flame candles, and fog machines are strictly prohibited as the fire alarm will go off. Fire alarm activation will result in charges passed on from the Fire Department call out - upwards of $350, including accidental triggers.
Liquor
If you plan to serve alcohol during your event, you are required to obtain a valid liquor permit. This must be arranged prior to your event and displayed on-site during the function. All alcohol service must comply with Alberta’s liquor laws and regulations.
Video Surveillance
The Uplands Homeowners Association has implemented video surveillance to ensure the safety of our renters, community members, facilities, and equipment. The recordings are intended solely for security purposes. They may be monitored during rentals or events to observe first-time renters, large gatherings, suspicious activity, or to verify renter arrival and departure times. Additionally, the footage may be reviewed after rentals to confirm adherence to guidelines and rules.
Housekeeping Checklist
General Room Care
Clean all tables and chairs: Wipe down surfaces to remove any spills or crumbs. Please leave tables and chairs as you found them.
Vacuum/Sweep the floor: Ensure all debris, dirt, and litter is cleared from the floor after your event.
Remove all decorations: Any decorations or signage used during your event must be removed, including tape, tacks, or string.
Dispose of garbage and recycling: Place all trash in the designated bins and ensure recyclables are properly sorted. Tie up garbage bags and place them in the appropriate outdoor bins.
Turn off lights and electronics: Ensure all lights, projectors, sound systems, or other electronics are turned off before leaving.
Check front planters for cigarette butts and garbage: Ensure no litter or cigarette butts are left around the entrance, including in the front planters.
Kitchen Guidelines
Clean countertops and surfaces: Wipe down all kitchen surfaces, including counters, sinks, and appliances used.
Wash all dishes and cookware: Clean and dry all dishes, utensils, and cookware used. Please return them to their proper storage location.
Empty the refrigerator: Remove all food and drinks that were brought in for your event. The refrigerator should be empty when you leave.
Sweep and mop the kitchen floor: Ensure the kitchen area is clean, with no food scraps or spills on the floor.
Remove catering equipment and supplies: If external catering services were used, ensure all equipment and supplies are removed from the building after the event.
Damage and Reporting
Check for damage: Before leaving, inspect the room for any damages. Report any issues, such as broken furniture or appliances, to the association immediately.
Repair costs: Any damage caused during your rental may result in additional charges for repair or replacement.
Security and Locking Up
Secure the space: After cleanup, make sure all windows and doors are closed and locked before you leave.
Return keys: If you were issued keys for the event, please return them as instructed in your rental agreement.
