We operate as a nonprofit homeowners’ association (HOA) dedicated to supporting our residents and maintaining a vibrant, welcoming neighbourhood. Our recreation centre serves as a hub for homeowner activities, fitness programs, and community events. We are seeking a skilled, reliable, and community-minded Facility/Property Manager to oversee daily operations, support residents, and ensure the smooth and efficient functioning of our amenities and facilities. This role reports directly to the Facility Operations Director.
Position Overview The Facility / Property Manager is responsible for financial administration, bookkeeping, facility maintenance, vendor coordination, community relations, and compliance oversight. This part-time role is primarily on-site at the Uplands recreation centre office, with remote monitoring as needed. Attendance at monthly Board meetings, the Annual General Meeting (AGM), and the annual Budget Meeting is required.
We are looking for a proactive, organized professional with strong interpersonal, technical, and administrative skills. The ideal candidate is comfortable managing both office tasks and hands-on facility responsibilities. Mentorship and on-site training will be provided to support a smooth transition into the role. We offer casual dress, on-site parking and a flexible schedule. Key Responsibilities 1. Financial Management
Manage homeowner payments of monthly dues, track and resolve delinquencies, maintain financial records, prepare and provide financial data to our chartered accountant for the Annual Audit report.
Administer payroll, including accurate tracking of staff hours and twice-monthly submissions.
Process vendor and fitness instructor payments, reconcile Nuvie credit card statements, monitoring expenses and generate monthly financial reports.
Maintain Trello boards for reports, quotes, meeting agendas, minutes, and documentation.
Support annual budget development, prepare expense reports, apply for applicable grants, contribute to reserve studies, and maintain long-term financial records.
Identify and assess capital projects outside of the established capital plan.
Negotiate contracts to secure competitive pricing and value.
2. Facility Operations
Oversee routine facility operations, including HVAC system, pool / hot tub maintenance, chemical handling, seasonal sprinkler system management and security system updates.
Ensure all inspections, testing, and facility operations meet City of Calgary and Alberta Health & Safety standards. Maintain AED equipment and WHMIS-related compliance.
Maintain appropriate insurance coverage and support risk-mitigation practices.
Order and maintain supply of inventory for all facility needs HVAC, Electrical, office, Pool / Hot tub chemicals and cleaning supplies.
Respond to urgent issues such as plumbing failures, equipment malfunctions, and pool/hot tub chemical balancing.
Provide 24/7 on-call support for alarms, security concerns, and remote camera monitoring. Serve as the primary contact for staff, residents, and contractors.
3. Communication and Administration Management
Demonstrates exceptional relationship-building skills with vendors, staff, residents, and the Board of Directors, fostering trust, collaboration, and clear communication across all groups. Serve as the main liaison between homeowners and the Board of Directors.
Coordinate meetings, including AGM preparation, proxy management, and attendance at monthly Board meetings, AGM and annual Budget meeting.
Assist the Board to enforce community bylaws, address homeowner concerns, and support fair dispute resolution.
Respond to resident inquiries and review security footage when required.
Manage RV lot draws, payments, unit placement and access keys.
Support fitness class registration, participant inquiries, and administrative coordination.
Oversee internal and external facility room rentals, including inquiries, bookings, viewings, cleaning schedules, and usage tracking. Assist with community events.
Hire, train, and supervise facility staff and contractors; ensure adherence to checklists and cleanliness standards.
Manage community communications, website updates, social media content and semi-annual newsletters. Maintain the facility operations manual as a Living Document.
Qualifications
Proficiency with Microsoft Suite of products, and social media platforms.
Experience with QuickBooks, bookkeeping and / or financial management.
Strong mechanical aptitude and problem-solving skills.
Excellent interpersonal, written and oral communication skills.
Aptitude for building and sustaining relationships with key internal and external stakeholders within the community.
Experience in facility management, property management, or HOA operations.
Ability to work independently, manage multiple priorities, and respond to urgent issues.
CPR, AED, and WHMIS certification are assets.
Willingness to learn—mentorship and on-site training will be provided.
